Clinical Placement Attendance Monitoring
A secure system for recording and verifying student attendance at clinical placements across King's College Hospital NHS Foundation Trust sites, in partnership with KCL GKT School of Medical Education.
QR Check-In
Students scan a tutor-generated QR code to record attendance, verified by geolocation to confirm presence at the clinical site.
Tutor Verification
Clinical tutors can review and verify student attendance in real time, with the ability to confirm or dispute check-ins.
Admin Dashboard
Programme administrators monitor attendance patterns, manage absences, and export reports aligned with MBBS programme regulations.
🎓 For Students
How to check in
- Your tutor will display a QR code at the start of the session.
- Open your phone camera and scan the QR code. This will open a check-in page in your browser — no app download needed.
- Enter your K-number (e.g. K1234567) and confirm your name.
- Allow location access when prompted. This is used once to verify you are at the clinical site.
- You're checked in! Your tutor can see your attendance in real time.
First time signing in to your portal
- Go to clinical-attendance.co.uk and tap Sign in.
- Enter your KCL email address.
- Check your email for a login link and tap it.
- You'll be asked to link your account to your K-number.
- Read and accept the Code of Conduct for clinical attendance.
- You can now view your attendance record, report absences, and report missing tutors.
Reporting an absence
If you cannot attend a session, log in to your student portal and use the Report Absence button. Provide an honest reason and submit as early as possible. For planned absences, a minimum of four weeks' notice is recommended. For illness exceeding seven days, you must provide a medical certificate to the MBBS programme office.

Getting started
- You will receive a login link by email from the programme administrator.
- Tap the link to sign in. No password is needed — each login uses a secure one-time link.
- You'll see your tutor dashboard with options to start a session, resume an active session, or view past sessions.
Running a session
- Tap Start Session and select the session type (e.g. clinic, ward round, bedside teaching), site, and optionally the module.
- A QR code will appear on your screen. Display this to your students.
- Students scan the code with their phone camera to check in. You'll see a live count of check-ins.
- The session remains active for 15 minutes by default. You can extend or end it at any time.
- If you close your browser or navigate away, tap Active session in progress to return to the QR code.
Verifying attendance
After ending a session, you'll be shown a list of students who checked in. You can verify each student was genuinely present or reject any check-in that seems incorrect. You can also verify attendance retrospectively from My Sessions.
About This System
This system is operated by King's College Hospital NHS Foundation Trust in collaboration with King's College London for the purpose of monitoring clinical placement attendance for MBBS programme students.
All data is processed in accordance with UK data protection legislation. The system collects attendance records, geolocation data (at point of check-in only), and absence reports. No data is shared with third parties for marketing or advertising purposes.
Access is restricted to registered students, clinical tutors, and programme administrators. Authentication is handled via secure magic link or password-based login.
